Scope and accountability
This Privacy Policy applies to personal information handled by Windows Hamilton through this website, quote requests, email, telephone and related service communications. We are responsible for personal information under our control and use appropriate measures to manage it.
For questions, access requests or privacy concerns, contact us at sales@windowshamilton.ca or 289-975-4020.
Information we collect
Depending on how you contact us, we may collect:
- your name, email address and telephone number;
- whether your project is residential or commercial;
- the project location or postal code and the type of service requested;
- details you provide about windows, doors, screens, shower glass, railings or commercial glass work;
- photos, documents or other information you choose to send through an available contact channel;
- records of our communications, appointments, quotes and service history; and
- basic technical information such as IP address, browser type, referring page, requested pages and server-log timestamps.
Please do not send payment-card details, government identification numbers or other sensitive information through a general website form.
How we use personal information
We use personal information to:
- respond to questions and prepare requested quotes or estimates;
- understand project requirements, assess service availability and arrange appointments;
- communicate about a current or past request, project or service;
- operate, maintain, secure and improve the website and our customer service;
- maintain business records and resolve disputes; and
- meet legal, regulatory, insurance and safety obligations.
Submitting a quote request allows us to respond to that request. It does not automatically subscribe you to unrelated promotional email. If we introduce optional marketing communications, we will use a separate consent process where required.
Consent and your choices
We seek consent that is appropriate to the circumstances and explain the purposes for collecting personal information. In many cases, consent is implied when you provide information that is reasonably needed for us to answer your inquiry or deliver a requested service.
You may decline to provide optional information or withdraw consent for a future use, subject to legal or contractual restrictions and reasonable notice. Withdrawing information that is necessary to assess or complete a project may limit our ability to provide that service.
Cookies, logs and third-party resources
Our server may create standard logs needed for security, reliability and troubleshooting. The website may use essential browser storage or cookies for functions such as forms and security controls.
The site also loads resources from third-party providers, including web fonts, icons or anti-spam tools. When your browser requests those resources, the provider may receive technical information such as your IP address and browser details. Their handling of information is governed by their own privacy terms.
Retention and safeguards
We keep personal information only as long as reasonably necessary for the purposes described in this policy, including customer service, warranty, tax, insurance, dispute-resolution and legal requirements. Retention periods vary with the type of record and the nature of the project. Information that is no longer required is deleted, destroyed or anonymized using appropriate methods.
We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information. No website, email service or storage system can be guaranteed completely secure, so please use care when deciding what to send electronically.
Access, correction and complaints
You may ask whether we hold personal information about you and request access to or correction of that information, subject to legal exceptions. We may need to verify your identity before completing a request.
Send a request or complaint to sales@windowshamilton.ca. We will review it and respond within a reasonable time. If a privacy concern is not resolved, you may also contact the Office of the Privacy Commissioner of Canada.
Children
This website is intended for people arranging home or commercial services and is not directed to children. We do not knowingly collect personal information from children through the website.
Changes to this policy
We may update this policy as our website, services or legal obligations change. The current version will be posted on this page with a revised “last updated” date. If a change materially affects how we use information already collected, we will provide additional notice or seek consent when required.
